The Lutterworth & District Choral Society (LDCS) is a registered Arts Charity (number 108089) that processes data for purposes necessary to fulfil its aims and charitable objectives.

We aim to be clear, honest and open in the way we use your data, use it in ways you should reasonably expect us to, and to stop using it should you request us to, or after you cease to engage with us for a reasonable length of time. This statement sets out the ways in which LDCS uses your data and how you can hold us accountable for that.
We may collect personal data from you when you ask us to send you information, attend an event, or participate as a member or associate member in the choir.
Why do we need your data?
We need to collect and store some of your details, for example your name and email address, so that we can send you information, let members know about rehearsal and event dates, subscription payments, and social events.

We collect the following data in order to respond to you request for information or for correspondence when you decide to become a member.

We collect some of the following types of data from members (we don’t collect all of this data on all members – we only collect it if it’s needed):

- Photos/video footage
- Subscription payments
- Gift Aid declarations
- Bank details
- Age /DOB
- Gender
We check what data we have on members every two years and remove it if we no longer need it. If you leave the group, we will make sure we stop using and/or delete any data we do not need to keep.
For what do we use it?
Any of the information listed above might needed to manage your membership with Lutterworth & District Choral Society and to organise and run our activities. We will not ever use this data for anything else unless you give us your active consent for that additional use.
If you give us your consent, by signing a Privacy Statement, Lutterworth & District Choral Society will add your email to our mailing list for the group’s marketing/promotional communications. We will always include opt-out options on all such communications. You can withdraw your consent at any point by contacting the Data Protection Officer (Karen Wilson-deRoze).
Do we share your data with anyone else?
- We will never give your data to third parties for that third party to use.
- We will sometime use third party services (e.g. Google Drive) to store or process your data. We will always make sure that they are reputable and secure, and that your data is kept safe.
- If another member of Lutterworth & District Choral Society asks for your contact details we will only ever share them if you consent.
What can you ask us to do?
At any time you can ask to view, update or correct any data we hold on you. You can also ask that we stop using your data or that we erase it. To request any of these, please contact the Data Protection Officer (Karen Wilson-deRoze) who will respond within one month.
Social Media
We use social media to provide updates on our activities, to promote events and projects. Depending on your own privacy settings with each social media provider, you can control LDCS’s permission to access information via social media platforms.
